REGISTRATION POLICY
1.0. Definitions
In this registration policy, the following words and phrases have the meanings set forth below:
1.1. Refund
Registrations are non-refundable, except in the situations specifically provided for in this registration policy. If a participant is no longer able to attend an Event, they may request a transfer of registration to another participant in accordance with Section 1.4.3 below.
1.2. Registration Error
If a participant made a mistake during registration, for example, by signing up for the wrong Race, they may request a registration change to be enrolled in the desired Race (subject to race number availability at the time of the transfer request), in accordance with Section 1.4.1 below.
1.3. Event Cancelation/Postponement
If an Event is canceled without a rescheduled date following the Organizer’s decision, all participants will be refunded the full amount paid at the time of registration. If an Event is rescheduled following the Organizer’s decision, participants may choose between a full refund or transferring their registration to the new scheduled date of Event (subject to the availability of race numbers at the time of the rescheduling request).
1.4. Change and Transfer
1.4.1. Change of Race within an Event
Registered participants are permitted to change their Race until the deadline indicated on the www.jecoursqc.com website (which may be changed without notice), subject to the availability of race numbers at the time of the Race change request. Race changes are made directly in each participant’s Race Roster account, following the steps described in the FAQ section on jecoursqc.com.
For any Race change request, participants must pay the difference in fees between the two Races based on the rates in effect at the time of change (including applicable taxes and service fees), in addition to an administrative fee of $18 online or $25 on-site at the race number pick-up. If a participant decides to switch to a Race with a lower registration fee than the amount originally paid, the difference in registration fees will not be refunded. In such cases, the administrative fee of $18 online or $25 on-site still applies.
If a participant wishes to change their Race after the Race change deadline, they may only do so in person at the race number pick-up, according to the schedule available on the website www.jecoursqc.com, subject to the availability of race numbers and provided the Organizer approves the change. It is not possible to reserve a race number for a specific individual after the Race change deadline. It is not possible to transfer a registration to the following year.
If a Race is listed as full on the registration platform, participants will no longer be able to switch to a different Race.
Race changes are not permitted on the morning of the Race in question.
1.4.2. Change of Event
It is not possible to switch between Events once registration is completed. If a participant is no longer able to attend an Event, they may transfer their registration to another individual, subject to the availability of race numbers and provided the Organizer agrees. Registrations cannot be carried out to the following year.
1.4.3. Registration Transfer between Participants
We accept registration transfers between participants until the deadline indicated on the www.jecoursqc.com website (which may be changed without notice), subject to the availability of race numbers at the time of transfer request. Registration transfers between participants are processed directly through each participant’s Race Roster account, following the steps outlined in the FAQ on jecoursqc.com.
For any request to transfer a registration between participants, the new participant must pay the initial registration fee plus an administrative transfer fee of $18 online or $25 on-site at race number pick-up. Once the transfer is complete, the initial participant will automatically be refunded the registration fee paid, excluding non-refundable service charges.
If a participant wishes to transfer their registration to another participant after the deadline for participant registration transfers, they may do so at the race number pickup according to the schedule available on the www.jecoursqc.com website, subject to the availability of race numbers, by presenting written proof (printed or digital) authorizing them to take the registration of the individual authorizing the transfer in a form satisfactory to the Organizer.
It is not possible to jointly change a Race and transfer a registration between participants in a single transaction. If an individual receiving a transferred registration also wishes to change their Race, they must do so in a separate transaction (subject to payment of the Race change administrative fee of $18 online or $25 on-site at race number pickup), subject to the availability of race numbers and provided the Organizer agrees.
No registration transfer between participants is permitted on the morning of the Race in question.
1.5. Race Number Handover
Race number for each Event will be distributed according to the venues, dates and procedures specified on jecoursqc.com. An email containing this information will be sent to participants in advance. Registered participants will receive their official race number and, if applicable, a participation T-shirt.
1.6. Results
Results for each Event may be available on the Sportstats website, the partner responsible for timing our Events, or on the website of any successor timing partner. If a participant disputes their time or if their time is not available, the participant is invited to contact the timing partner directly via corrections@sportsats.one. The Organizer expressly disclaims any liability in this regard.
It is forbidden to participate in the Event using another individual’s race number or to share the completion of an Event with unregistered individuals. Participants must take part in the Event using the race number personally assigned to them at the time of registration. No transfer of race numbers is permitted without the Organizer’s authorization. The Organizer reserves the right to carry out verifications (including identity verification) it deems appropriate or necessary under the circumstances, which may even lead to a participant’s disqualification depending on the circumstances and the framework observed. The Organizer’s decisions in this regard are final and without appeal. If a participant choses to run with another individual’s race number or to share the completion of an Event with an unregistered individual and is disqualified for this reason, their time will not be valid and will not be available on the timing partner’s website, whether Sportstats or any other partner that may succeed it. Registration transfers must be carried out in accordance with the procedures set out in section 1.4.3.
1.7. Wheelchair and Visual Impairment
For safety purposes, individuals with limited mobility are not permitted to participate alone. However, it is possible for individuals with limited mobility (runners) to participate in suitable Events, provided they are accompanied by a running partner (co-runner). The co-runner must their keep hands on the wheelchair handles at all times.
It is also possible for blind individuals (runners) to be accompanied by a running partner (co-runner).
If both participants (runner and co-runner) wish to receive a race number and t-shirt, each must pay for their own registration. The runner must pay the full rate in effect at time of registration, while the co-runner is entitled to a 50% discount on the rate in effect at the time of registration (subject to change at any time by the Organizer). The runner must provide the co-runner’s email address and phone number. The Organizer will then contact the co-runner to verify their eligibility and send them a promotional code for their discount.
1.8. Cutoff Points
Our events can be completed by walking or running. Time limits apply to each Race within each Event and may be modified at the Organizer’s discretion. These time limits may vary from year to year (see www.jecoursqc.com for Race times).
In addition to the time limits, cut-off points are in place. Runners and walkers who fail to pass these checkpoints before the cut-off time will be disqualified from the Race. Please refer to www.jecoursqc.com for information on these checkpoints, which may be subject to change at the Organizer’s discretion.
1.9. Privacy Policy
When registering for Events, participants are encouraged to review the Organizer’s privacy policy to familiarize themselves with the applicable practices regarding the collection, use, disclosure, and retention of their personal information.
By registering, participants acknowledge that they have read this privacy policy.
