Registration Policy

REGISTRATION POLICY

 1.0  Definitions:
In this Registration Policy, the following words and expressions have the meanings set out below:

  • “Organizer” means Corporation Événements Course de Québec duly represented by its agent Gestion d’événements Gestev Inc. ;
  • “Event” means one of the running events organized by the Organizer and appearing on the jecoursqc.com website for which a participant has registered, namely: the Lévis Promutuel Assurance Half-Marathon, the Trail Coureur des Bois Duchesnay presented by Hoka, the Défi des Escaliers or the Marathon Beneva de Québec presented by Montellier.
  • “Race“: means a specific distance to be completed within a given Event (as shown on the jecoursqc.com website) and for which a participant has registered. For greater clarity, an Event may contain several Races.

1.1  Refunds
Registrations are non-refundable, except in situations specifically provided for in the present registration policy. If a participant is no longer able to participate in the Event, he/she may request the transfer of registrations between participants in accordance with article 1.4.3 below.

1.2.  Registration error
If a participant has made an error when registering, for example by registering for the wrong Race, he/she may request a transfer of registration between participants in accordance with article 1.4.3 below. Registration is non-refundable.

1.3.  Event cancellation/rescheduling
In the event of cancellation of an Event without a postponement date following the Organizer’s decision, all participants will be refunded the full amount paid at the time of registration. In the event of postponement of an Event following the Organizer’s decision, participants may choose between a full refund or postponement of their registration to the new scheduled date of the Event (subject to bib availability at the time of the postponement request).

1.4.  Change and transfer

  1.4.1  Change of Races within the same Event
We accept that registered participants may change Events up to the deadline indicated on the www.jecoursqc.com website (which date may be modified without prior notice), subject to availability of race numbers at the time of the Event change request. Event changes are made directly in each participant’s Race Roster account, following the steps described in the FAQ on jecoursqc.com.

For all Race Roster change requests, the participant must pay the difference in fees between the two Races at the rate in effect at the time of the change (including applicable taxes and service charges), in addition to the Race Roster change administration fee of $18$ online or $25 on-site at the time of bib delivery. If a participant decides to change to a Race for which the amount payable at registration is less than the rate initially paid, the difference in registration fees will not be reimbursed. In such a case, the administrative fee of $18$ online or $25 on-site remains applicable.

If a person wishes to change his or her Race after the Race change deadline, he or she will only be able to do so on site at the race number pick-up according to the schedule available on the www.jecoursqc.com website, subject to the availability of race numbers and to the Organizer’s acceptance. It is not possible to reserve a race number for a specific person after the event change date. It is not possible to transfer registration to the following year.

If a race is fully booked on the registration platform, the participant will no longer be able to change event.

Race changes are not possible on the morning of the race in question.

  1.4.2  Change of Event
It is not possible to change between two Events once registration has been completed. If a participant can no longer take part in an Event, he/she may choose to transfer his/her registration to another person, subject to the availability of race numbers and to the Organizer’s acceptance. It is not possible to transfer a registration to the following year.

  1.4.3.  Transfer of registration between participants
We accept registration transfers between participants up to the deadline indicated on the www.jecoursqc.com website (which date may be modified without prior notice), subject to availability of bib numbers at the time of the registration transfer request. Registration transfers between participants are carried out directly in each participant’s Race Roster account, following the steps described in the FAQ on jecoursqc.com.

For all registration transfer requests between participants, the new participant will pay the initial registration fee plus an administrative registration transfer fee of $18 online or $25 on site at the bib drop-off. Once the transfer has been completed, the former participant will automatically be refunded the registration fee paid, excluding non-refundable service fees.

If a person wishes to obtain a transfer of registration between participants after the deadline for transfer of registration between participants, it will be possible for him/her to do so at the bib drop- off according to the schedule available on the website www.jecoursqc.com, subject to the availability of bibs, by presenting written proof (printed or digital) authorizing him/her to take the registration of the person authorizing the transfer in a form satisfactory to the Organizer.

It is not possible to make both a change of Event and a transfer of registration between participants in a single transaction. If a person who receives a transferred entry also wishes to change his or her Event, he or she must do so in a second transaction (subject to payment of the $18 online or $25 on-the-spot administrative fee for changing Event at the time of bib delivery), subject to the availability of bibs and to the Organizer’s acceptance.

No transfer of registrations between participants is possible on the morning of the event in question.

1.5  Delivery of race numbers
Bib numbers will be issued for each Event according to the locations, dates and procedures indicated on jecoursqc.com. An e-mail with this information will be sent to the participant beforehand. Registered participants receive their official race number and, if applicable, a participation shirt.

1.6  Results
The results of each Event may be available on the website of Sportstats, the partner responsible for timing our Events, or any other website of the partner responsible for timing that succeeds it. If a participant disputes his or her time or if his or her time is not available, the participant is invited to communicate directly with the partner responsible for timing via corrections@sporstats.one, the Organizer expressly declining all responsibility in this regard.

It is forbidden to participate in an Event with another person’s race number, or to share the completion of an Event with unregistered persons. The participant must participate in the Event using the bib number personally assigned to him/her at the time of registration. No transfer of bib numbers not authorized by the Organizer is permitted. The Organizer reserves the right to undertake such verifications (including confirmations of identity) as it deems appropriate or necessary under the circumstances, which may even lead to the disqualification of a participant depending on the circumstances and the framework observed. The Organizer’s decisions in this regard are final and without appeal. If a participant has chosen to run with another person’s race number or by sharing the completion of an Event with non-registered persons and has been disqualified for this reason, his or her time will not be valid and will not be available on the site of the person responsible for timing, either Sportstats or any other successor partner. The transfer of entry must be made in accordance with the procedures set out in point 1.4.3.

1.7  Wheelchairs and visual impairments
Persons with reduced mobility (co-runners) may take part in suitable events accompanied by a runner. The runner must keep his or her hands on the wheelchair handles at all times. For safety reasons, we cannot grant access to people with reduced mobility who wish to participate solo. Please note that people with reduced mobility must be pushed by another runner, who must keep his or her hands on the wheelchair handles at all times.

It is also possible for blind people (runners) to be accompanied by a co-runner.

If both participants (runner and co-runner) wish to obtain a race number and T-shirt, each must pay for their own registration. The runner participant must pay the full rate in effect at the time of registration, while the co-runner participant is entitled to a 50% discount on the rate in effect at the time of registration (subject to change at any time by the Organizer). The runner participant must provide the e-mail address and telephone number of the co-runner participant. The Organizer will contact the co-runner to validate his eligibility and to send him a promotional code for his discount.

1.8  Cut-off points
Our Events can be run or walk. Maximum times are in effect for each Race of each Event and may be modified at the Organizer’s discretion. These times may vary from year to year (see www.jecoursqc.com ).

In addition to the maximum times, cut-off points are in place. Runners and walkers who fail to pass these checkpoints before the cut-off time will be disqualified from the race. Please refer to www.jecoursqc.com   for details of these checkpoints, which may be modified at the Organizer’s discretion.
